What we are looking for:

We are looking for a proactive and highly organised Office Manager to operate as the backbone of our agency, working closely with the Management Team to ensure the smooth day-to-day operation of the agency's core functions.

The Office Manager will oversee and support all areas of agency life, including general Office Management, Facilities, IT, People and Culture, and day-to-day support of the Management Team.

You would be joining MatchFit at an incredibly exciting time of growth, with several soon-to-be announced new business wins, a new office in Shoreditch, London, a brilliant team and the chance to play an instrumental role in our future agency journey.

Role overview:

1. Office & Facilities Management

  • Manage the daily running of the office, helping to create a productive, welcoming and enjoyable working environment.
  • Main point of contact with the office management agent for maintenance, repairs and any other issues that arise.
  • Manage general office supplies, from our weekly food shop, replacing IT equipment, through to ensuring general office inventory remains well stocked.
  • Manage the office meeting rooms calendar booking system, and coordinate additional meeting space as required.
  • Main point of contact for post and couriers, ensuring items are sent and received as required.
  • First point of call for inbound phone calls and email enquiries.

2. IT & Systems Management

  • Manage the maintenance and servicing of office equipment, agency internal systems, emails and other tools, including Slack.
  • Main point of contact with third-party service providers and IT support as and when needed.

3. People & Culture

  • Manage the onboarding of all new staff to ensure a consistent MatchFit welcome and that they have the tools and training needed on day one. This includes the setting up of agency MacBooks and IT logins.
  • First point of contact for ad hoc team requests or issues, escalating to the Management Team where required.
  • Manage the drafting of all employee-related documents, including terms of employment, promotions and salary increases, with third-party HR support available as required.
  • Oversee our HR tools, including Charlie HR (people management), Timetastic (staff leave) and Harvest (timesheets)
  • Schedule agency activities, including the quarterly socials and the all-agency end of year social, acting as the main point of contact for the agency’s People and Culture Team.
  • Support with organising and scheduling team training and development courses, working closely with our People and Culture Team on plans.
  • With support from the Management Team, lead the seamless implementation of new processes, systems and initiatives.
  • Work closely with the People and Culture Team on team celebration calendar moments (such as birthdays, work anniversaries and diversity & inclusion moments).

4. PA Support to the Management Team

  • Provide ad-hoc support to the Management Team, including diary management, travel and accommodation arrangements and ad hoc meeting support, such as preparing materials for pitches.
  • Management of off-site meetings, client dinners and other client entertainment logistics for the Senior Management team.

Successful candidate will:

  • Have a proactive, positive and highly organised approach.
  • Have a can-do attitude towards problem-solving and an ability to work independently.

  • Be a team player with the ability to manage and communicate effectively in verbal or written form, both with the core team and senior management.
  • Have a natural love and enthusiasm for fast-paced agency life, with good time management skills, an ability to meet deadlines and handle ad-hoc requests.
  • Be able to commute to our office in Shoreditch on Tuesdays, Wednesdays and Thursdays.
